Hiring & Joining
Hiring & Joining documents
Documents issued between making a decision on a candidate and their first day on the job. These carry the terms someone accepts employment on, so the details in them — role, start date, compensation, reporting line — are the ones most likely to be referred back to later.

Telling these documents apart
What's the difference between an offer letter and an appointment letter?
An offer letter is issued before the candidate accepts — it states the proposed role, compensation, and start date so they can decide, often before resigning elsewhere. An appointment letter is issued after acceptance and is the formal record of the full terms of employment. Some organisations combine the two; keeping them separate makes the acceptance point unambiguous.
Do I still need a joining letter if I already sent an appointment letter?
Yes, if you want a dated record of when the person actually started rather than when they were appointed to start. The appointment letter fixes terms in advance; the joining letter confirms those terms took effect, which payroll and personnel records rely on for the actual first-day date.
Can I include a salary breakup inside the offer letter?
The offer letter generator supports an optional salary annexure for this. If you need a standalone breakup sheet — for internal planning, or to hand over separately from the offer — use the Salary Breakup generator in the Compensation group instead.
How is a probation confirmation letter different from an appointment letter?
An appointment letter is issued at the start of employment and typically states the probation period as one of its terms. A probation confirmation letter is issued later, once that period ends successfully, and confirms the employee is now permanent — the appointment letter sets up the process, the confirmation letter closes it.
When do I use a probation extension letter instead of confirming someone?
When the probation period ends but you're not ready to confirm the employee as permanent and need more time to observe performance. It extends the observation window with a new end date and reason, rather than closing it out.
Is an internship offer letter different from a regular offer letter?
Yes — it's written for a fixed-term, often stipend-based internship rather than a permanent role, and doesn't carry the probation or notice-period terms a regular offer letter does. If an intern is later hired full-time, a regular offer letter covers that separately.
