Probation Extension Letter, explained

About the Probation Extension Letter

A probation extension letter documents the opposite outcome to a confirmation — it extends the observation period with a stated reason and a new review date, giving both sides a clear written record of why more time was needed and when the next decision will be made.

Use it when a probation review concludes the employee isn't yet ready to be confirmed but there's no basis to end the engagement either — it keeps the process documented rather than leaving the employee with no formal update.

Frequently asked questions

Can probation legally be extended more than once?

That depends on your employment contract's own terms and, in some jurisdictions, on statutory limits — this generator doesn't check either. Confirm with your HR or legal team before issuing a second extension.

What should go in the reason field?

Specific, factual, and dated observations — what was expected, what happened instead — rather than a general characterisation of the employee. The same discipline that applies to a warning letter applies here, since this document can also come up later if the employment outcome is disputed.

Does this letter guarantee the extension is compliant with our contract or local law?

No. This is a neutral drafting aid, not legal advice, and does not check your contract's probation clause or any statutory notice requirements. Have the final wording reviewed by HR or legal counsel before issuing it.
