Resignation letters, explained
What a resignation letter is for
A resignation letter is your formal notice that you are leaving. It records the date you gave notice, the role you are leaving and the last working day you are planning around, so you and your employer are working from the same dates.
It also starts the exit paperwork. HR usually confirms the resignation in writing, agrees the handover, settles final dues and then issues the relieving and experience letters a new employer asks for. Every one of those documents refers back to dates in this letter, which is why it is worth getting them right.
What to include, and what to leave out
Keep it short and factual. A good resignation letter covers:
- The date, and who it is addressed to: your manager, or HR if that is your company's process.
- The position you are resigning from, as it appears in your appointment letter.
- Your last working day, and your notice period if you want to state it.
- A reason, only if you want to give one. A single neutral line is enough.
- An offer to hand over your work properly.
- A short thank-you, then your sign-off, name and designation.
Things that don't belong in it
Leave out complaints, salary negotiations and details of your next employer. The letter goes into your personnel file and may be read long after you have left, so write only what you would be comfortable having on record. If there is feedback you want to give, an exit conversation is the better place for it.
Asking to leave before your notice ends
If you need to leave earlier, choose "Ask for early release". The letter states when your full notice would end, asks for an earlier last working day and makes clear that the decision is your employer's.
Whether an early release is possible, and how any shortfall in the notice period is handled, depends on your contract and company policy. Some companies allow it in exchange for a thorough handover; some settle the shortfall in another way; some cannot agree to it. Ask HR before you plan around an earlier date.
How to hand it in
Many companies accept resignations by email, and some have their own HR system or portal for it. Follow whatever your company uses. When you email, "Copy as email" gives you a subject line and the letter text to paste; you can also attach the PDF.
Keep a copy of what you sent and the date you sent it, and ask for a written acknowledgement. That acknowledgement, usually a resignation acceptance letter, confirms your last working day from the employer's side.
Frequently asked questions
Do I have to give a reason for resigning?
No. Many resignation letters give no reason at all, and that is perfectly professional. If you do want to give one, keep it to a single neutral line, such as moving to a new role or further studies.
Should I resign by email or with a printed letter?
Follow your company's process. Email is common, often with the letter attached as a PDF, and some companies use an HR system instead. Whichever you use, keep a copy and note the date you sent it.
Can I take back a resignation after sending it?
Only if your employer agrees. If you change your mind, ask as soon as possible and in writing. Once the resignation has been accepted and a replacement is being planned, many employers will not agree.
What happens after I resign?
Usually HR confirms your last working day in writing, you hand over your work and return company property, and your final settlement is calculated. At the end you receive a relieving letter and an experience letter, which a new employer may ask to see.
Is this resignation letter generator free?
Yes. You can download the letter as a PDF or Word file, or copy it as an email, without signing in or paying. What you type stays on the page and is not saved or sent anywhere.
