About the Department Change Letter
A department change letter records an internal move to a new department or team, including the new reporting manager, when nothing else about the role — location or level — is changing.
Use it for a department-only move. If the location or level is changing too, a work location change or promotion letter may be the more accurate document, or the two can be issued alongside each other.

Frequently asked questions
Does this letter also handle a designation or compensation change?
No — it's built specifically for a department/reporting-line move. If designation or pay is also changing as part of this move, issue a Designation Change Letter or Increment Letter alongside it, so each change has its own clear record.
Do I need to give a reason for the move?
It's optional but useful context, especially if the move might otherwise be read as a demotion or a response to a performance issue when it isn't — stating the actual reason (project realignment, rotation program) removes that ambiguity.
What if the employee's work location is also changing?
Use the Work Location Change Letter for that separately — a department change and a location change are recorded independently since one can happen without the other.
