Work Location Change Letter, explained

About the Work Location Change Letter

A work location change letter documents a move to a different office, city, or site, along with any relocation support offered — scoped to location only, not department or role.

Use it whenever an employee's primary work location changes, whether a short local move or a full relocation, so payroll and personnel records reflect the new site from the correct effective date.

Frequently asked questions

What's the difference between the two variants?

"Same city / office move" is for a shift between offices in the same city, where relocation support usually isn't relevant. "Relocation to a new city" adds a sentence for whatever support — allowance, transition leave — you're offering, since a city move usually comes with a real cost to the employee.

Does this letter override the location clause in the employment contract?

No — this is a notification of a change, not a contract amendment. If your employment contract requires consent or a formal amendment for a location change, that process still needs to happen separately.

Can I use this for a permanent switch to remote work instead of a new office?

Use the Remote Work Approval Letter for that instead — it's built around approving remote work rather than assigning a new physical location.
