Same figures, different questions
Three compensation documents get confused because all three contain salary figures. They answer different questions for different readers, and picking the wrong one usually means a bank or an employee sends it back.
What each one is for
Salary breakup sheet. The structure behind a CTC figure: basic salary, house rent allowance, other allowances, benefits, and retirement contributions such as provident fund and gratuity, each as an annual and a monthly amount. It is not a letter; it is the working document that letters attach.
Salary certificate. The employer's signed attestation, on letterhead, of an employee's current employment and pay, issued on request and often naming its purpose, such as a loan or a visa. It is signed by an authorised signatory from HR, payroll or finance.
Increment letter. The formal record of a salary revision: from what, to what, and from when, with the increment amount and percentage. Most arrive with the annual review, but market corrections and retention decisions use it too.
Payslips are the routine monthly payroll record for every employee. They come from payroll and are not generated here.
Which one do you need?
Start from who is asking, and why:
- A candidate or employee wants to understand a CTC: salary breakup sheet.
- A bank, landlord or embassy needs the employer to confirm pay: salary certificate.
- An employee's pay has been revised: increment letter, with a revised breakup.
- Someone needs month-by-month pay records: payslips.
Frequently asked questions
Can a salary certificate replace payslips? Usually not. Lenders often ask for both: payslips for the monthly record, the certificate for the employer's confirmation.
How is a salary breakup different from a salary certificate? The breakup shows structure; the certificate is a signed attestation for a third party. They often travel together: the certificate attests, the breakup explains.
Does an increment letter change anything else? It changes compensation only. If designation or department changes at the same time, record that in its own letter so each change has a clear record.
