About the Appreciation Letter

An appreciation letter is standalone recognition for something specific someone did well — a project outcome, a sustained effort, a particular achievement — put in writing so it's on record rather than only said in passing.

Issue it any time it's warranted, independent of the review calendar — it doesn't need to wait for, or be tied to, a formal appraisal cycle or a compensation decision.

  • Individual — Recognizing one person's contribution.

Frequently asked questions

Should this go in the employee's personnel file?

It's common practice to keep a copy on file alongside appraisal letters — a documented pattern of recognized contributions is useful context at review time and for future reference letters.

What if the recognition is for a whole team, not one person?

Use the "Team achievement" variant, addressed to whoever led the effort, and mention the team's contribution in the achievement summary — issue individual copies to other team members if you want each of them to have their own record.

Does this need to mention a reward?

No — leave the reward field blank for a letter that's recognition on its own, with nothing monetary attached.
